Role Description
This full-time position as an Event Assistant is based on-site in Budapest with a
Hybrid work model
. The Event Assistant will support the planning and execution of events by assisting with logistics, coordinating with vendors, and ensuring customer satisfaction. Responsibilities include organizing event details, maintaining clear communication with clients and stakeholders, and providing exceptional customer service. Additionally, the role entails managing schedules, timelines, and materials to ensure smooth event operations.
Event Assistant ( Supporting the Event Director and Event Management Tasks)
- Administrative support for the daily work of the Event Director and the event management team
- Organizing meetings, discussions, and travel arrangements; coordinating schedules
- Handling emails and phone calls; forwarding information as needed
- Preparing, organizing, and archiving documents
- Preparing contracts, invoices, and other administrative materials; filing and tracking
- Preparing price requests and collecting quotations
- Maintaining communication with clients, suppliers, and partners
- Performing general office duties (mail, courier coordination, ordering supplies, managing office systems)
- Active participation in event preparations
- Liaising with event partners (catering, technical suppliers, décor teams, performers, etc.)
- Researching venues and service providers; collecting and organizing quotations
- Event-related administration (orders, contracts, supporting budget tracking)
We are looking for you if…
- You have excellent organizational skills
- You are flexible with working hours and do not insist on a classic 8–4 schedule, knowing that event management often requires variable hours
- You work precisely, independently, and proactively
- You have excellent verbal and written communication skills
- You have confident English language skills (both spoken and written)
- You perform well under pressure and are not afraid of challenges
- You manage your time efficiently and can easily oversee multiple tasks at once
- You confidently use MS Office and/or Google Workspace
- You are client-oriented and communicate politely and professionally
- You are flexible, adapt quickly to changing situations, and focus on solutions
- Experience in event management or in an assistant role is an advantage
- A category B driver's license is an advantage but not a requirement
