We are looking for a reliable and detail-oriented
Operations/Admin Specialist
to join our Budapest office. This is a full-time, long-term
position supporting the day-to-day administrative needs of both our UK and Hungarian subsidiaries.
Here's what you'll be doing:
- Hungarian & UK subsidiaries administration
– From document management and double filing to preparing contracts, maintaining records, and handling day-to-day paperwork. This includes registering and archiving all incoming and outgoing documents. You will ensure smooth, accurate, and consistent processes both locally in Hungary and in coordination with our UK office. - Finance & accounting coordination (UK)
– Liaise with the UK-based finance team, support monthly closings, process monthly invoices, use Xero for administrative tasks, and maintain regular contact on operational matters. - Reporting
– Prepare accurate and timely reports to support management. - Office support
– Order supplies, maintain inventories, and ensure the office runs efficiently. - Sales admin & support
– Assist the London-based Account Manager with administrative and coordination tasks, including preparing documents, updating records, and following up on agreed actions. - Organizing team events (internal and external)
– planning, coordinating, and executing company gatherings, workshops, and external team activities. - Managing business travel and accommodations for the team
– handling bookings and logistics to ensure smooth travel arrangements. - Executive assistance & general coordination
– Provide administrative support to the Managing Directors, including scheduling meetings and preparing documents. Handle ad hoc requests and manage occasional last-minute tasks.
What we're looking for:
- Strong organisational skills and excellent attention to detail
- Proven experience with finance processes, invoicing, and month-end closing
- Proven experience in a multinational environment
- Comfortable managing both Hungarian and UK administrative processes
- Experience using Xero or similar accounting software
- Excellent communication skills in both Hungarian and English (written and spoken)
- Ability to work independently and prioritise tasks effectively
- A steady, dependable approach to work and a commitment to supporting the team for the long term
