Job Description

The marketing support specialist will support the different members in the business unit in the organisation of travel and the organization of internal and external events. The marketing support specialist will support the product advertising campaigns events and is also responsible for vendor and invoice management.

Job Description and Responsibilities:

Support the work on promotional material development and coordinate product advertising

  • Initiate the process in VEEVA for approval
  • Contact creative studios and other vendors for design and production in local languages (where applicable)
  • Create POs for ordering and invoicing
  • Distribute, store and keep inventory on the materials

Events and travel management

  • Prepare Travel Request Forms for approval, ensure reservation for travels and accommodation.
  • Drive organization, approval process, documentation and the follow up of the events 
  • Directly communicate with external event partners (agencies, catering, speakers, KOL, …)
  • Prepare invitations and send them to the participants

Communication

  • Support the development and implementation of product/non-product related communication plans towards professional and non-professional audience
  • Support
  • Facilitates effective internal communication within and across the BU/Department
  • Support sponsoring activities in accordance with company SOPs

Vendor and Invoice Management via SAP Atlas

  • Ensure denied party screening, create vendors and obtain approvals in the system
  • Customer database maintenance, ensures that local list of vendors and their data are up-to-date
  • Create Purchase Order numbers and manage invoices and the related attachments

Country-based Activities (non-BU/department specific activities)

  • Supporting the work of the EEM Compliance Specialist, the job holder makes sure that local SOPs are updated, all promotional activities are properly documented and all materials are stored locally for audit purposes.
  • Ensures SOP on data privacy is according to the new GDPR regulation and data on employees and customers are handled internally as required – local registry, data privacy inventory.
  • Ensures that all activities are in line with compliance and code of conduct.

Qualifications:

  • Min. 2 years’ experience in business support & administration
  • Education: Secondary education
  • Learning agility, a high level of accountability and a proactive approach
  • International work experience is an advantage
  • Effective communicator in English (written and verbal)
  • Organizes work efforts by prioritizing tasks and using resources optimally
  • Team player with the ability to work effectively cross-functional and in an international environment
  • Competent use of MS-Office (Word, Excel, Power Point, Outlook) and fast learner in IT technology in general
