What is the job about?  

The main responsibility of the position is to ensure that the office is fully functional in every way, and to be the person who coordinates and ensures that managers, employees, guests and other stakeholders gets the right service in high quality and in time. 

 

Your main responsibilities:  

  • Receive and welcome guests and international colleagues 

  • Manage incoming and outgoing post and packages, answer phone calls and emails in a professional manner 

  • Handle and register entry cards to maintain high level of security, onboarding of new employees 

  • Supervise the daily tasks related to student worker 

  • Provide travel assistance to outside visitors, book and manage hotel reservations and taxi transfer, be the first contact point between hotels and the employees of the company 

  • Prepare meeting rooms, organize the catering 

  • Provide assistance in meetings and coordinate events with hotels as necessary 

  • Organize the events for Shared Service Centre office according to yearly cycle ie. Grundfos Day and Christmas party

  • Ensure that all facilities in the office are in order and up to data, handle office equipment and other office assets 

  • Procure and order supplies and stationery for the daily operation of the office 

  • Communicate with Facility management in the house and report and ensure that issues in the office gets resolved (ie. electricity, heating, rest rooms etc) 

  • Coordinate all tasks with cleaning vendor, coordinate structural improvements of the office and upkeep related suppliers 

  • Organize anniversaries according to company policy 

  • Prepare Townhall presentations 

  • Support the role of the Site Manager, Management and HR 

  • Attend to ad-hoc administrative and reporting tasks based on Management requests 

  • Vendor creation in SAP,  review relevant payment requests and vendor invoices related to office activities rdinate Health and Safety and Fire Marshall tasks, prepare Monthly EHS reporting 

 

 Your background 

We imagine that you have:   

  • Preferably Bachelor degree 

  • 3-5 years of experience from a similar position, the hospitality sector or is large SSC 

  • Service minded and Outgoing personality, proactive mindset 

  • Structured and methodical way of working 

  • Collaborative mindset and approach and can work with people on different levels of the organization, and with external stakeholders 

  • Self-motivated and enthusiastic mindset, also those days where you must do recurring tasks. But you are also the opportunistic person who always aims to find smarter and more efficient ways to produce your deliveries 

  • Experience of Microsoft Office package - Excel, Word, PowerPoint 

  • Preferably SAP knowledge  

  • Open and friendly personality 

  • Effective time management, correct assessment of the importance of tasks
