As a Payroll and Personnel Administration Manager, you will be an advisor and business partner to both local and regional structures in a matrix environment.

Key Responsibilities:

  • Acting as an advisor and business partner to both local and regional structures in a matrix environment
  • Mentoring team members, assigning tasks to ensure effective use of team resources, and providing feedback on employee performance within the Payroll department
  • Coordinating team activities to ensure accurate and timely processing of Payroll and Administration tasks, in compliance with local policies and legal regulations
  • Responsibility for the law compliance of all personnel (employees, students) and payroll-related documents (such as employment contracts, annexes, declarations, etc.)
  • Securing correct and on-time payroll process, ensuring seamless communication between different systems
  • Cooperation with the external legal advisor and updating documentation based on legal advice if necessary
  • Optimizing existing Admin & Payroll processes and local implementation of new group processes
  • Developing and updating procedures and techniques for payroll and personnel administration functions, as well as writing new procedures to increase effectiveness
  • Overseeing the work of personnel administration and payroll software, cooperating with providers, and initiating improvements
  • Preparing employment contracts, job descriptions, annexes, and other relevant documents for office and matrix positions, ensuring the highest level of confidentiality and data protection
  • Enhancing the security of bonus payouts across all types of bonuses and managing benefits administration
  • Ensuring the application of GDPR rules, following local legislation, in working with employee documentation
  • Resolving issues and official inspections related to personnel administration and payroll, and cooperation with relevant institutions in such cases
  • Coordinating and supervising cooperation with the HSE agency, monitoring HSE trends, and legal compliance of all related procedures with the law
  • Ensuring that cooperation and communication with relevant inspections is at the highest level (Labour, Tax, HSE, and others)
  • Regularly updating the company's documents and policies related to Payroll
  • Securing reporting delivery for different departments (finance, HR, management, sales) and relevant local institutions
  • Providing advice and support to management and employees, and conducting regular workshops and trainings

Requirements:

  • 5 years of experience in senior or team leader positions in payroll and HR administration in larger organizations, preferably in retail or similar industries
  • Excellent knowledge of relevant legal regulations, such as labour law, pension and social security insurance, rules for calculating wages, tax regulations in the field of wages, health and safety regulations
  • Fluency (written & spoken) in the English language
  • Very good knowledge of MS Office applications, especially Excel
  • Skilled in working with various payroll software and HR administration software, preferably Nexon and OLM experience
  • Experience in cooperation with various state institutions
  • Ability to mentor and support team members effectively
  • Reliable individual, excellent at task prioritization, and performing effectively under pressure
  • Analytical person with great communication skills, able to share knowledge and lead a team
